I find it interesting how determined most of us are to derail ourselves in big and small ways. We can put a lot of effort into avoiding focusing on a dissertation.

How about you? Perhaps you have developed a terrific plan and writing routine, just as has one of my dissertation clients.   If not, there’s hope. Take some cues from my client who credits his plan for his increased productivity.

My client’s plan works because it is both basic and elegant.  The plan centers on a “twice –a-day schedule.”

As he rides the bus to his day job, he plans what work he’ll do on his dissertation in his first session of the day. Once he’s close to his office, he finds a quiet place to work, and for about 45 minutes, he follows his plan and either writes or edits a section of his dissertation. Then he goes on to his usual place of work and puts in a full day. At day’s end, after he’s returned home and has had dinner, he puts in about 90 minutes in his second writing session.

He says that the twice-a-day schedule allows him to be more productive than if he worked a longer session once a day. The writing is never far from his mind.  He finds that he looks forward to returning to the work at the next session. And even over holidays, he tries to adhere somewhat to his plan just to keep his head in the material.

If you haven’t put a plan into action, first turn off the internet, television, and whatever else is distracting you.  Believe me, I know that finding the will to write is not easy, but you can do it. It starts with taking control and laying down the basics for yourself.

1. When will you write?  What day and what time?

2. Where will you write?

3. What will you write in that first session?

4. And when does the first session end?

5.  Rinse and repeat.

Nothing much will happen until you have a given yourself specific directions.  What is your plan?  What’s your own twist that makes the plan work for you?

Happy end of November to you.  December looks like a good month for writing, don’t you think?

Not too long ago, when my adult son mentioned how busy his work and life have become,  my husband was reminded of an annual planning session he had attended at which a facilitator presented a workshop on how to organize your time. 

As my husband drew a diagram from that workshop, I realized that he was drawing time management guru Stephen Covey‘s famous matrix.

Stephen Covey groups the ways we spend our time into four quadrants:

 –1-important and urgent

–2-important and not urgent

–3-not important and urgent

–4-not important and not urgent

As my husband drew the diagram, he said, “The facilitator said you should attend immediately and with personal involvement to Quadrant I matters.” The facilitator’s words about urgent matters resonated with my husband because he always has more work than he can get done.  Everything is urgent.

In your life, as an academic, ABD, dissertator, professional writer—does that sound familiar? You’re grading papers, attending meetings, preparing classes or presentations, returning email, managing crises at home, and trying to keep up with all that keeps hitting you. As you rush frantically and lose sleep, you also try to engage in last-minute binge writing of your dissertation before the time you told your advisor you would be submitting your promised work.  

Not only had my husband remembered clearly what the facilitator said is assigned to Quadrant I– the urgent and important matters, but he also clearly remembered those matters in Quadrant IV.  The facilitator said that Quadrant IV contains matters that you could basically forget about or things headed for the “circular file.” In other contexts, Quadrant IV could include behaviors such as vegging out in front of the TV or hanging out at Facebook.

So that’s Quadrant I and IV.  What about Quadrant II?  Important but NOT urgent matters would go in Quadrant II. 

Not surprisingly, my husband said that had forgotten what the facilitator said specifically about Quadrants II.  That’s probably because my husband, like so many of us, has to focus on urgent matters. The stuff that never stops. 

 

What you need to meet your goals

What are the important matters contained in Quadrant II and why should we care?  Take a look at what matters are in Quadrant II:

–goal-setting

–planning

–building relationships

–exercising

–productivity

People who most often meet their goals do more planning, organizing, and anticipating. They work efficiently and productively, avoiding last-minute sprints in order to meet impending deadlines, and they honor goals of a healthy lifestyle and close relationships.

While you might be able to avoid some of the distractions and time-wasters of Quadrants III and IV, how do you ignore the unrelenting onslaught of urgent demands of Quadrant I so that you can spend more time with the important matters of Quadrant II?  

 

Controlling what’s urgent

Not everything is an emergency, and we can take steps to stay out-of-the-way of things that appear urgent. Whenever possible, avoid email, particularly before or during a writing session. Avoid such additions to your workload as more volunteering, carpooling, office projects when the work really isn’t your responsibility, and perfectionism that can lead to unwarranted revision and research on your writing project.

Let people know that you are turning off your email and phone during the time you are writing. That would be a bold, but empowering step, wouldn’t it?

 

10 tips that will move you closer to your writing goal

Here are more tips that will help you increase your focus on what is important and also help you move closer to your writing goal:

–Anticipate future demands and activities. Plan, plan, plan. 

–Make your schedule and stick to it.

–Plan do-able, timely deadlines which you meet.  Such a plan results in productivity.

–Prepare so that when you sit down to write, your subconscious has had time to work on the ideas.

–Include physical exercise in your life. (Check out previous blogs and upcoming blogs on the importance of exercise to your writing life.)

–Break out the outlines. If you don’t have an outline, make one. Have an outline in place to guide your writing session.

–Routinely, daily, go to a quiet place to write and to plan the next day’s writing.

–Set up an accountability factor. Ask your friends if you can mail them a chapter and then tell them when you will mail it.

–Email your coach with frequent updates on daily writing sessions.

–Keep an eye on productivity—it’s under your control.

It might be a small problem for you to push aside something seemingly urgent in order to plan and schedule writing sessions, but if you don’t do that, you’ll have the big problem of not producing text because you are running around as if your hair is on fire.

Your hair isn’t on fire.  Slow down, plan, and show up to write.

Is there too much to do?  Are you not getting enough done?

Do you jump from task to task on your to-do list but never seem to make progress on your main writing goals?

Is your dissertation still on your to-do list?

As a client said to me, “Which end of the tube am I squeezing?”

So what’s undercutting your progress on your writing?

 

Add-On’s

At your day job, people are sick or on leave, and you’re expected to pick up the slack. So you stay late. If you’re teaching, a student needs extra mentoring.  There are last-minute requests for letters of recommendation. And then you get into your car to drive home, only to find yourself in an extended traffic jam, once again.

Two extra hours here, two there, and suddenly you’ve forgotten about your own priorities.

Have you agreed to additional responsibilities without checking your schedule or without carving space for the new add-on’s? Or have those extra responsibilities not even registered for you as time-sucks?

 

Family Matters

Spring here in the U.S. often brings additional activities, primarily more activities for your kids.  So the questions…and conflicts…arise:  Who is driving the kids to their newly added activities? Are you changing your work schedule in order to take care of the kids? Are you going to be able to stay and watch them do these activities? 

Or perhaps your kids need or want to change their plans.  And they need or want to change what you thought was already decided.   

Misunderstandings, disputes, and debates can arise from too many issues being handled on the fly. Phone calls or a voicemail message can precipitate problems or unexpected responses. Dealing with those problems and, perhaps, with your own emotions as well require more of your time.

You have the energy and know-how to orchestrate work, family life, dissertation or writing project. However, if you’re juggling so many things, you may feel that there’s no time for a miscalculation. Remember that things don’t have to be perfect. If there is a problem, you can problem-solve. 

 

Ah, yes, the dissertation… How about Intervals?

Your to-do list is so big.

Parenting is so big.

The commute and the job are so big.

But what about the writing?

Has your dissertation moved lower and lower on your list? It’s time to get it back at the top of the list. Decide what specific writing task you can do this week. Look for chunks of available time each day and write that task on your calendar. Decide that you can do a good-enough job during those small chunks of time.

 

Time to Power Up

Have you done intervals in your exercise routines? Intervals are a simple but effective way to boost your exercise by “alternating bursts of intense activity with intervals of lighter activity.”  The benefits are that you burn more calories in a shorter amount of time and improve your aerobic capacity. 

 

Reframe your view of your day—look at it as if you’re doing intervals. You move easily from one task to another, increasing your tempo when you want to move through a task more quickly and then slowing  as you move to a less demanding activity. You can apply that same interval method to your writing.

If you could get more writing done in a shorter amount of time, what’s not to like about that? Let’s give it a try. 

How much writing can you do in a short amount of time? Push yourself, knowing that you only have to work at this level of intensity for a selected period of time. You set the amount of time. Keep going until the time is up. Then slow down, go over what you’ve written, and plan the next sprint. Some writers object to this kind of writing because they say they have to write slowly. But perhaps those writers have no other job or they aren’t juggling as many responsibilities as you. You need to use your writing time as efficiently and productively as you can.

You make efficient use of your time in all sorts of ways during your day, and you can do that with your writing, too.

Of course, you need to be flexible.  The chunk of time you thought was yours may slip away from you because of a request at work or from a family member.

But watch that procrastination isn’t masquerading as flexibility.

Protect the small chunks of writing time. 

Setting small daily writing goals as priorities will result in progress.

Walking up to the United States customs agent in an airport after a trip out of the country always makes me feel uneasy. Will there be something wrong?  Where should I look as the agent flips through my passport?

So I stand there, feeling awkward. Finally, the agent looks at me one more time and then, with what seems like genuine feeling,  the agent calls me by name and says, “Welcome Home.”  

Whew. I’ve passed muster, but I’m also curiously touched.  I know there’s nothing personal in the greeting.  It’s predictable that the customs agent welcomes the traveler, but I always feel a bit of emotion rising in my chest.       

I guess I belong here after all.

 

Inception and Leonardo DiCaprio

Have you seen the movie Inception?  I got around to seeing it a few weeks ago and was particularly drawn to the ending when the character played by Leonardo DiCaprio shows the same unease I often feel as I wait to see what the U.S. agent may ask me.  DiCaprio gives a slight acknowledgment to the agent and then lowers his eyes—how are you supposed to look in this situation? And where should you look?  Finally the agent says, “Welcome home, Mr. Cobb.”

 

 

 

 

 

 

And the relieved and happy Cobb/DiCaprio crosses the boundary into the U.S. He’s home. Of course, he had reason to worry.  He could have been denied entrance. 

But that’s another story. 

A customs agent in the role of gatekeeper reminds me of how often we can doubt that we belong in a community or in a situation which formerly had seemed or claimed to be our home. 

The notion of home, returning home, and feeling at home in various situations goes beyond familiar settings, sentimental snapshots, or an address on a customs form. 

 

The writer’s home

Most ABD’s come to a graduate program feeling at home, challenged, but nevertheless sure that this is where they will find the opportunity, the collegiality, and the inspiration that will bring out the best in them.

Even if they had felt completely at home as they took classes or as they wrote papers for classes or perhaps even acting as teaching assistants, once the students have moved past their course work or into the dissertation process, they are too often thrown by the process and feel out-of-place as they try to finish their dissertations and earn their degrees.  

As I coach writers, I am struck by how frequently brilliant, capable ABD’s become stuck and start to feel incompetent and unworthy. 

 

Incompetent and unworthy

ABD’s know what they’re supposed to do. They’re supposed to make goals and meet deadlines and just write.  But for many ABD’s, deadlines have become counterproductive. The pressure and the isolation of trying to grind out text somehow raise such self-doubt that they start to question whether they belong in this doctoral program.  

Some compare themselves unfavorably with others who are further along in the dissertation process.  They feel such regret and, worse, they feel such shame for time wasted during the doctoral program that they’re almost paralyzed. 

Do they have what it takes to finish this degree?  The familiar situations and professors no longer seem reassuring, but rather seem to raise barriers to the extent that ABD’s start to see themselves as frauds or imposters. 

 

Lower the stakes

If this sounds like your situation, you could take a cue from some graduate students who have gone through periods of self-doubt and shame and have rewritten the process to make it work for them.  

Instead of focusing on the product or on finishing, focus on the present moment. Determine the block of time that you are setting aside each morning for yourself and decide what your choices will be during that time.  You can decide that you will write and that’s all, or you could have a variety of tasks to choose from, as long as you put in the time.  What is important is that you step back from the process and lower the stakes from producing something brilliant and perfect to doing something.

 

Ebb and flow 

The writing process will be one of ebb and flow. Some days, the writing will be crappy, and other days you might think the work you did wasn’t half bad. What is important is that you show up each day at the time you have carved out for yourself and write. Do something. And it will be good enough.

 

Welcome home

The block of time for your daily work is your place and your time. Rewrite the script; redesign the scenery. Make the delivery and the timing your own. This is your home place. And at the beginning of each writing session, greet yourself. I bet you would smile if you greeted yourself each morning with “Welcome Home, Mr. Cobb.”

What works 2010

“Hey, where’s the beef?” yells the cranky, elderly woman at a fast food counter.  We see an enormous bun being poked at by two less cranky women.  Trying to say something positive, they agree that the bun is big:  “It’s a big fluffy bun. It’s a very big fluffy bun.”  But the all-business, take-no-prisoners woman says, “Hey, where’s the beef.”  And then she says the obvious, “I don’t think there’s anybody back there.”

 The “where’s-the-beef” line from a 1984 Wendy’s Fast Food commercial has become synonymous with something that’s insubstantial and inflated.

Too often our goals are little more than a big, fluffy bunch of words, as insubstantial as white bread.

If your goal for 2011 is “I will finish my dissertation,” what will add some substance, some beef, if you will, to that goal?

As that silly song from the mid- ‘60s by Burt Bacharach says, “Wishing and hoping and thinking and praying, planning and dreaming” aren’t enough. 

To add substance to your goal of “finish my dissertation in 2011,” let’s look at your “Have -Done” list for 2010.  We rarely give ourselves credit for what we’ve done. 

Typically, we shake a finger at ourselves about all that went wrong this past year. That approach reminds me of stern Suze Orman on PBS who frowns at me and says she’s my girlfriend, but she really wants to scold me about my bad money management: “I want to talk to you about the mistakes you made last year,” she says.

We need evidence that we can do this work in 2011. What are the successes from 2010 that you can build on in 2011?

An Accomplishments List definitely motivates and adds momentum toward your 2011 goal.

What evidence can you pull up for some success in the areas of perseverance, resilience, and accountability?

What meetings did you request with your advisor?  What specific help did you request from your advisor? What additional resources did you find?  Where do you want to look for resources in 2011?

What did you have to say no to in order to get work done?

What deadlines did you meet? What was instrumental in your meeting those deadlines?  What do you want to tweak?

How did you manage your ambivalence?  Your resistance?  Your perfectionism?

And how much text did you produce?

Each page of writing is a success.

Each writing session in which you managed your anxiety or your resistance or your perfectionism was a success. And here you are, back at it, stronger and wiser.

Make the path to success more certain this year.  Have as goals the specific patterns and processes that worked last year, and ramp them up.   

Those are worthwhile, robust, substantive goals.  Write them down.

A dissertation coaching client said that she stopped watching TV and picked up her writing pace in order to meet a deadline.  Now that she has met the deadline, she worries that she will be sucked into watching all of the TV shows that she recorded during her heavy-duty period of writing.

Do you record TV shows?  It’s just too easy, isn’t it?  I doubt that I’ll ever catch up on all of the International House Hunter shows that I seem to record every day. Occasionally I wonder how on earth all of the shows pile up, foolishly forgetting that I clicked on “record series.” And there must be at least 3 International House Hunter shows a day!

My client also worries that not only will she binge on watching all of the TV recordings waiting for her, but from experience she knows of the torpor that will hit her once she starts watching the hours of  TV.  It will be hard to get back into her writing routine. Digital stress strikes again!

Recently I stayed in a small town at an absent relative’s house (no I wasn’t a home invader–it was by invitation!).  This was a house with no TV and no internet access.  I was looking forward to seeing how the absence of TV and lack of email would affect me.

It was a little eerie, but good.  Many clients say that it’s hard for them to get into flow while writing and sometimes they find it hard to jump into a long book that is required reading for their topic.  Experience tells me that if you remove yourself from the easy temptation of  TV and the internet, flow will be much easier to accomplish than you might imagine.

With no TV and internet, I moved quickly into a reading and writing routine.   I gave no energy to avoiding writing and no energy to avoiding TV. And I wasn’t recording TV shows for later.  It was a win-win-win.

Often, clients who have a day job say that one change they are making in their lives as dissertation writers is to leave their blackberries at work.  I feel the same way about checking office email at home.  Too often employers expect the unreasonable–that is, that you are online, plugged in, no matter what time of day, no matter where you are.

If you can leave the blackberry and the office email at the office, cut way back on what you are recording on TV, and limit when you will check home email to an absolute minimum, you may be surprised how easily you, too, can move into flow. 

And you can control digital stress.

Are you one of the millions of instructors or professors back in the classroom this September?  

Are you also trying to meet a writing goal?  

So how are you doing?  Keeping all of the balls in the air? 

Maybe you’re like some of my coaching clients who have returned to their fall teaching jobs and feel thrown back on their heels, staring at all that is facing them. 

Are you trying to find time just to do the required stuff—preparing for class, grading, meeting with students? How do you fit in those unexpected duties?  More students in your classes than you had expected?  Maybe you have that student with the special problem that you feel compelled to take on.  Or the lab that wasn’t prepared. Or the team-teaching that seems to lack a team. 

Or maybe you just forgot over the summer how hard it is to teach and to do anything else at all. 

And what is the first thing that you let go?  We all know the secret word—Writing! 

This year, how can you think of yourself as a writer?  Would that be a paradigm shift for you?  A whole new reality? 

Here’s a challenge for you–Make this the year to see your day through the lens of you as a writer. 

That doesn’t mean that you spend more time writing than doing anything else in your day.  Nor does it mean that you spend the same amount of time writing every day or (and I’ll go to hell for saying this) that you even write every day. 

One client started her teaching year with a plan. 

Even though she has a heavy teaching load, she plans to work on her dissertation early each morning. Her teaching day starts mid-morning, and so she will give the first 2 hours of her day to her writing.  She needs a goal, and that’s her goal.  She will also oversee how well she is doing to meet her goal, what she can do to manage that goal, and whether the goal needs to be tweaked. 

Another of my writing clients might seem to you that time-wise she’s not focusing on her writing.  But she, too, has a plan.  

She also has a heavy teaching schedule and a killer commute, plus a family.  She is at a different place in her career as an academic writer than my first client.  She has finished her dissertation and is transforming her research into journal articles.  She is doing her best to maintain the writing habits she learned while writing her dissertation.  She can’t write first thing because she has a young daughter to mother, a dog to walk, and that killer commute, but she also had all of that when she was writing her dissertation.   What she learned while she was writing her dissertation was to use small chunks of time for her writing.  

She never turned up her nose at writing 15 minutes here and 15 minutes there during a day.  They add up!   

While she sets as a goal smaller time units than my first client, she is a stickler for meeting her goal.  Some weeks she sets as a goal 2 hours for the week.  She also sets as goals some time for exercise, and, like me, she finds her mind turning to her writing as she exercises.  She anticipates getting in a fast 20- minutes of writing as soon as she finishes running or swimming or walking. 

If you plan to write 2 hours each week,  surprise yourself by being amazingly productive during those two hours. My client is proof of what can be accomplished by that type of schedule.  She has had two articles accepted for publication this year. 

If you teach, the demands on you are enormous, but put writing into your schedule.  It isn’t how much time, but how dedicated you are to keeping the time that you say you will write. 

See yourself as a writer, and then be that writer.  Make that paradigm shift.  

Do what you say you’re going to do.

Are you worried about losing your momentum while you’re on vacation?  But does working on your dissertation while vacationing seem depressing?

Actually, writing while you’re on vacation may be easier and more pleasant than you think.

Vacation will make you feel happier and livelier.  Since it’s easier to write when you’re happy, you may be surprised at how normal and uncomplicated it is to take a peek now and then at your dissertation while you’re on vacation.

Here are 5 tips to help you maintain your writing momentum and still enjoy your vacation.

1.  Plan ahead before leaving home.  Have a list of modest writing tasks that you can do on vacation.

2. Make use of small chunks of time.  You can’t find one quiet hour each day away from the family while vacationing?  Then claim 25 minutes every day or two for your writing.

3.  Use the different location and break in your routine to your advantage.   Writing in a hotel room or on a balcony looking toward the mountains is not your usual ho-hum, one-more-day- at- the- library approach.  Get up while others are still snoozing and write for a bit.  Take a legal pad and a pen and walk to a bench in a quiet area.

4.  Balance is possible.  Approach each day well rested, exercise, eat well, and give yourself permission to see that your writing project is part of your life, not your whole life.  

5.  Anticipate the unexpected.  Your marvelous brain can spontaneously give you ideas, right out of the blue.  Dissertation coaching clients tell me of breakthroughs they have had when they were on vacation or when they have changed their routine.  Jogging, swimming, staring into space—you never know when an idea might hit! 

Now that’s a great vacation.

Another Monday is upon us.  If you have an office job, will you drag into work, thinking of fifteen other places you would rather be, with bed high on the list?  Re-entry into the work week is hard, but re-starting your writing no matter what day of the week wins the Resilience and Determination Litmus Test hands down.

Here are three tips for restarting your writing routine: 

1.  The shorter time since you were last writing, the easier it is to begin. If you wrote yesterday and stopped at point where you weren’t totally spent, you have something more to give to the writing today.  Stick to a scheduled writing routine.

2.  Always have three key words at the ready to guide the day’s writing session.  When you end each writing session, write down at least three key words that will spark your ideas for the next writing session.  If you do that, you will have a way to move into the writing.  Then re-entry may not be so overwhelming.

3.  Starting your day with a workout or a run will recharge your brain.  Have you heard about the schools that are now using exercise within the classroom and scheduling competitive, heavy-duty exercise early each day to awaken the kids’ brains?  Dr. Charles Hillman at the University of Illinois says that exercise is “good for attention, it’s good for how fast individuals process information, and how they perform on cognitive tasks.”

In “The Happiness Project” blog, Gretchen Rubin says that when she drops her child off at day care, she could then exercise at her conveniently located gym before going to work, but she doesn’t want to waste the morning time.  It is true that the morning is the best time to write, but exercise is never a waste of time.

For a faster restart to your writing and with less foot dragging:
 1. Write daily.
2. Write three key words at the end of each writing session to jump-start the next session.
3.  Spend 30 minutes on a treadmill or in other aerobic exercise each morning.

Change is happening in the Washington DC area, not just in Congress, but here in my backyard.  Spring is here.  Tulips are pushing their way above ground.   The trees are dropping all sorts of little colored pellets on my deck and front walk. 

The first days of Spring are a great time to assess your writing habits and consider how they are working for you or against you.  It’s an opportune time for you to consider where change in your writing process might help you. 

Time to clean house.

You’ve probably been down this road before, deciding to make a change but not putting any muscle into that decision.  However, there are positive strategies that can achieve lasting results.

Most of these involve capitalizing on the power of habit. 

In December 2008, I wrote a post in this space called “Make Getting Started on Your Writing Easier: Top 5 Reasons to Develop a No-Kidding, No-Fooling Daily Writing Habit.”

If you were fighting the dissertation battle then, 15 months ago, you may have read my “top 5 reasons for developing a solid, robust, no-kidding daily writing habit.”  And perhaps you would have made changes at that time.  Then these last 15 months might have been different.  Maybe you wouldn’t have continued to sabotage yourself and expend energy resisting writing rather than putting your energy into writing.  

What if you stopped making excuses now?  How about committing to  writing every day, even if only fifteen minutes a day?  Before you back away and begin again with the excuses, consider how writing every day, preferably at a scheduled time and maybe first thing in your day, would increase your productivity and, most importantly, would have you writing. 

Where do you need to exert control and spend your energy? What can you do to help yourself be mentally tough?  I’d love to hear from you.
